This page explains how salon pricing works: the catalog price, size-tier pricing, surcharges, deposits, and the three discount paths, and how to handle a dispute about the total at pickup. This page summarizes the Service Pricing & Surcharge Policy (Service Pricing and Surcharge), which governs.
The governing principle
The price the customer was quoted is the price the customer pays, and every number on the ticket traces back to the catalog: not to memory and not to a note at the register.
The catalog price
The service catalog's set price is the price authority. It is the only number you may quote unless an authorized pricing element: a surcharge, a discount, or a member price: changes it.
If a customer says the website shows one price and the catalog shows another, the catalog price is used for the ticket. Report the website discrepancy to be fixed. Do not honor a different website price on the spot without manager approval.
In the booking flow, prices are set by size tier. Every package carries a price per size tier: Small, Medium, Large, and X-Large: plus a separate member price for active Bath Club members. The tier comes from the dog's weight. For X-Large, if no X-Large price is set in the catalog, the service requires a custom quote. The booking flow states that honestly rather than presenting an invented number.
Surcharges
A surcharge applies only as recorded in the surcharge list for your location. Pricing and surcharges are governed by the Service Pricing & Surcharge Policy (Service Pricing and Surcharge), which governs, including the requirement that only one active surcharge of a given kind may apply per location.
Before you quote a price that includes a surcharge
- Confirm which surcharge record is the active one for your location.
- Confirm whether it applies automatically or must be added.
- If two active records appear to cover the same charge, ask your manager which record is correct before you quote.
Warning
Do not choose between two conflicting surcharge amounts on your own authority. Once you state a price to the customer, an error in that quote is attributed to you. Escalate the conflict to your manager first.
Deposits
The deposit is the location's booking rule, never a fixed amount for all locations. It is set in the location's booking settings as a toggle, a flat dollar amount, or a percentage of the total. Where both a flat amount and a percentage are set, the flat amount applies. The deposit never exceeds the total. If no rule, no toggle, and no amount are set, no deposit is charged. There is no built-in default deposit.
Deposits are governed by the Deposit & Prepayment Policy (Deposit and Prepayment), which governs. What the customer paid is recorded as a deposit with status "held." It is not revenue yet, and it is not applied except as the deposit rules provide. See Cancellations, No-Shows and Fees for how deposits interact with cancellations and fees.
At booking, the customer chooses to pay in full or to pay the deposit. The balance due is the total minus what was paid, and the booking carries all three numbers: service price, deposit amount, and balance due: so the front desk does not need to recompute them.
Discounts, promo codes, and points
Three discount paths exist, and they behave differently
- Promo codes are validated again on the server at checkout against the actual booking. The preview the customer saw is not final; the checkout result controls. If a code was rejected, the rejection reason is the explanation. Do not override it at the desk.
- Perks points are checked against the customer's balance before checkout, and the redemption is recorded after the booking exists, because the booking is the record for the redemption. The recorded redemption reflects the actual redemption, which may limit points to the subtotal. If the ticket shows fewer points applied than the customer expected, that limit is usually the reason.
- Manual discounts are recorded on the service line, with the reason in the notes. Authority for manual discounts is a management matter under the Service Pricing & Surcharge Policy (Service Pricing and Surcharge), which governs.
Tax is calculated on the discounted subtotal. That calculation is applied in the checkout figures and is not adjusted by hand.
Handling a dispute about the total at pickup
Work through the likely causes in this order
- Size tier. Re-weigh the dog and confirm the tier.
- Promo that did not apply. Check the rejection reason recorded on the booking.
- Surcharge. Confirm the active surcharge record and amount with your manager.
Warning
Never change a service line's unit price to make the ticket match what the customer expected. Changing the unit price corrupts the record. Issue a proper discount line with a reason instead, with manager approval where required.
