This standard governs how the cart is built and handled at the point of sale, from the first line added until payment completes. It applies to cashiers, who build the cart, attach the customer, and apply discounts, and to managers, who review overrides and discounts. Nothing in the cart is final until payment completes, but the cart determines what the books will record: the receipt reads these lines, a refund references them, the accounting entry posts from them, and inventory is reduced from them. Staff shall treat the cart as the record being written, not as scratch work.
Adding items and lines
Each product rung creates one line, numbered in order, carrying the description, quantity, and unit price exactly as the catalog holds them. Adding the same product again increases the quantity on the existing line and recomputes its totals; it does not create a second line. A refund is later processed against that line's quantity. Each line also carries the item's cost, which the accounting entry uses for cost of goods. If a price looks wrong, the cashier shall check whether the catalog price changed or the wrong variant was selected before using an override, which is governed by Keypad.
The three line kinds behave differently at completion
- A product line reduces inventory at the main warehouse.
- A service line reduces nothing, but may carry an appointment link.
- A subscription line creates a live subscription record at completion: plan, customer, pet, billing interval, and next billing date. The cashier shall state before tendering that the line starts a membership, and the line requires a customer attached.
Attaching the customer
The cashier shall attach the customer before payment, not after. Attaching links the sale to the customer's record for purchase history, loyalty, and gift card ownership. Three checks happen at tender time and are skipped silently if no customer is attached: charging a card on file, using a gift card or store credit belonging to the customer, and enrolling a subscription.
If the customer is new, create the record with at least a name and phone number, following Customers. If the customer declines, ring the sale with no customer attached. Staff shall never attach one customer's sale to another customer's record; doing so corrupts two histories and places loyalty points in the wrong account with no clean correction.
Checking out a booking and taking deposits
When a sale is linked to a grooming appointment, completing the sale also checks the customer out of the booking: the appointment is marked completed, its paid and outstanding amounts settle, any held booking deposit is applied and the customer-deposits liability is relieved, and the groomer's commission accrues. The cashier shall confirm the appointment shown is the correct one before tendering; completing the wrong appointment marks the wrong visit complete and accrues commission to the wrong groomer.
A deposit collected without a booking: a special-order prepay or a hold on a large item: is recorded as a deposit: numbered, marked held, linked to the customer, with the sale noted in its notes. A deposit is the customer's money held by the store, not revenue; the books carry it as a liability until it is applied or refunded. The cashier shall tell the customer plainly what the deposit covers and what happens if the customer does not return.
Line discounts and coupons
A discount on one line is stored on that line as its own discount figure, separate from the unit price; the original price remains visible. A coupon code is validated at tender time: active, in date, uses remaining, promotion window, and minimum subtotal on eligible lines. An invalid coupon does not produce a smaller discount; it stops the sale entirely, with the reason stated, as described in Order Summary. Staff shall never enter a manual discount to match a rejected coupon. If no coupon is entered, the register checks for automatic promotions and applies the single best one.
Order notes
Notes record what the receipt and the next shift need to know, such as a pickup arrangement or an approved substitution. The cashier shall write notes as if the reader has no other context. Staff shall not enter anything in a note they would not show the customer.
Holding, clearing, and voiding before payment
Holding parks the entire cart: lines, discounts, customer, and notes: so another customer can be served. A held cart is not a sale: no payment is taken and no inventory is committed. Held carts have no permanent storage. Staff shall retrieve and complete held carts promptly, shall not hold a cart and leave for the day, and shall read the customer name before confirming a retrieved cart, every time.
Clearing empties the cart with no record; it is for a false start before payment. Once payment is taken, clearing is no longer available. A paid sale is corrected only through the post-transaction flow: void or refund: under Post-Transaction, so the audit trail stays intact.
Controls
- Price overrides require a reason, as governed by Keypad. An override without a reason cannot be distinguished from an error in the audit trail.
- A subscription line without a customer attached shall not be tendered; the sale will fail or create a membership belonging to no one.
- A held cart left from a previous shift has stale prices and its customer may be gone. Staff shall clear it rather than tendering an abandoned cart.
Records
Each completed sale creates sale lines carrying line number, item, service where applicable, description, quantity, unit price, gross amount, discount amount, taxable amount, tax amount, line total, and cost. Subscription lines create subscription records; appointment-linked sales update the appointment and deposit records; standalone deposits create numbered held deposit records. These records are kept in the point of sale system.
Escalation and review
Managers review overrides without reasons, manual discounts entered in place of coupons, and appointment-linked sales completed against the wrong appointment.
