This standard governs receipts at the point of sale: what a receipt contains, the print, email, and text options, the customer's right to decline, and reprints. It applies to cashiers, who shall offer the receipt choice on every sale, and to managers, who correct misdirected receipts and replace failing printer hardware. The receipt is the sale's proof of what was bought, what was paid, and how, and it is the document every return, dispute, and warranty question starts from.
What the register generates
When a sale completes, the system creates a stored receipt record: receipt number, sale link, and delivery method: and printer output for the thermal printer. For cash or check tenders, the printer output ends with the drawer-release command, which is why the drawer opens on a cash sale and stays shut on a card sale. The printed receipt carries the store block, the receipt and sale numbers, the date, every line as quantity and description with its line total, subtotal, discounts, tax, the total, each tender with its amount, and change. Card payments show the authorization code and the card brand with last four digits: never the full card number.
Print receipt
Print is the default and the option that needs no contact details and no connectivity. If the printer jams mid-receipt, the cashier shall reprint from the completed sale record; the cashier shall never re-ring the sale. Reprinting produces the same receipt, not a second sale. Staff shall keep the printer loaded; a register with no paper cannot prove a sale until the roll is changed. If print quality fades and a fresh roll does not fix it, the thermal head is failing and shall be flagged for replacement before it produces receipts a customer cannot read at return time.
Email receipt
An emailed receipt goes to the address on the customer's record. If the customer is attached to the sale, the address is already present; if not, the cashier shall ask for it and confirm the spelling before sending. A receipt sent to the wrong address is a privacy incident, not only a typo, because it discloses another person's purchase; handling of customer contact data is governed by the Privacy Policy. The email contains the same detail as the printout, plus links for returns and support. Email receipts are transactional: they are sent because the customer bought something, regardless of marketing opt-in status. If the customer says the receipt never arrived, check the address on the record first, then resend; spam filters catch more receipts than the mail system loses.
Text receipt
A text receipt goes to the phone number on the customer's record and is the briefest form: store name, sale number, total, and a link to the full receipt. The cashier shall confirm the number verbally rather than relying on an old record. Like email, it is transactional: a customer who opted out of marketing still receives receipts: but a customer who asked for no contact at all shall be offered print instead.
No receipt
A customer may decline all three forms. The sale is still fully recorded; the register does not need the customer's permission to keep its own books. The cashier shall warn the customer once, in plain terms, that without a receipt a return requires looking up the sale by date, amount, or card, which takes minutes instead of seconds and is not always possible for a cash sale with no customer attached. Staff shall always offer the choice; "no receipt" shall be the customer's choice, not the cashier's shortcut during a rush.
Reprint
Any completed sale can produce its receipt again, because the sale record is permanent and the receipt always renders from it
- Find the sale: by its sale number (shown on the customer's bank statement), by date and amount, or by the card used.
- Open it and choose reprint or resend. This does not alter the sale: no new payment, no new totals, no duplicate revenue.
- If the receipt must go somewhere new, such as a different email than the one on file, update the customer record first, then send. An address typed only into the send dialog is not stored, and the next reprint would go to the old address again.
Controls
- A sale shall never be re-rung because a receipt failed. Reprint from the sale record.
- If a receipt is emailed to the wrong address, the cashier shall correct the customer record immediately and resend. If the receipt contained another customer's details because the wrong customer was attached, the cashier shall report it as a privacy incident to a manager at once.
- A request for a receipt for a sale from weeks ago is routine. The record is permanent; find it and reprint it.
Records
Each sale creates a receipt record with its receipt number, the linked sale, and the delivery method chosen. The sale, line, and payment records the receipt renders from are kept in the point of sale system permanently.
Escalation and review
