Modals and Overlays

This standard governs the register prompts that interrupt a sale for a decision the register cannot make alone: discount and coupon, customer search, tip selection, age verification, manager override, refund reason, held orders, and receipt preview. It applies to cashiers, who answer each prompt, and to managers, who provide overrides. Each prompt appears at the moment the information is needed, and each answer writes something permanent. Staff shall not dismiss a prompt carelessly; dismissing one incorrectly is how sales end up wrong in ways that take a manager to fix.

Discount and coupon

This prompt appears when the sale is discounted or a coupon code is entered. It asks the kind (percent or fixed), the amount, and why; the reason becomes the discount's reason on the record, separating a legitimate promotion from an unexplained markdown in the reports. Coupons are validated first, strictly: the code must exist, be active, be within its dates, have remaining uses, have a promotion attached, and meet the minimum subtotal against the eligible lines. A rejected coupon names the failed rule; the cashier shall read the message instead of overriding around it. An invalid coupon stops the entire sale until the coupon situation is resolved. Staff shall never enter a manual discount to match an expired coupon. If no coupon is entered, the register applies the single best automatic promotion on its own; the cashier shall check the discount lines so they can be explained to the customer. Discount rules are stated in full in Order Summary.

This prompt attaches the customer to the sale, searching customer records by name, phone, and email, with partial matches allowed. Phone number is usually the fastest key. When several records match, the cashier shall check the details: address, pet names, last visit: before choosing. Choosing the wrong person merges two people's histories and loyalty balances, and separating them again requires a support request. If no record exists, create one with at least a name and phone number. A sale with no customer attached cannot earn loyalty, cannot receive a digital receipt, cannot charge a card on file, and cannot enroll a subscription. If the customer declines, the cashier shall say so plainly at the time, so the next person who sees the sale understands why no customer is attached. Customer records are governed by Customers, and customer data handling by the Privacy Policy.

Tip selection

For card payments where tipping applies: grooming services most often: the register presents tip choices after the total is shown: preset percentages, preset amounts, custom entry, and no tip. The customer chooses, not the cashier. Staff shall never select a tip on the customer's behalf, shall never suggest an amount beyond showing the screen, and shall never present the tip screen again after a decline. The register records the choice once, stored on the payment itself, so a split tender keeps each tip with its own card. On card-on-file completions the tip is computed net of tips already recorded on prior tenders, so it cannot double-count. A tip entered by mistake before finalization may be changed; after finalization, correction requires a manager, because the authorized card amount changes.

Age verification

Certain products require the customer to be of legal age, and the register stops the sale until age is verified. When the prompt appears, the cashier shall

  1. Check a valid photo identification for the buyer.
  2. Enter the birth date exactly as shown; the register calculates the age against today's date.
  3. Complete the sale only if verification passes. A failed verification removes the restricted item; the rest of the cart proceeds.

Staff shall not estimate an age, shall not take the customer's word, and shall not accept a companion's identification in place of the buyer's. An expired identification is not valid identification; treat it as no identification.

Manager override and PIN

When the register needs authority beyond the cashier's, this prompt asks for a manager's own credentials: the manager's register PIN, entered by the manager, never handed to the cashier to type. The action is recorded under the manager's identity alongside the cashier's. The PIN standard is stated in Register Basics and Keypad. If no manager is present, the prompt waits and the sale waits with it. Staff shall not shop for credentials; every rejected attempt is in the audit log.

Refund reason

Every refund requires a reason: plain words plus a reason code the reports use. The prompt offers the common reasons: defective, wrong item, changed mind, damaged in store: and a free-text field for the rest. The cashier shall write the reason as if it will be read in six months during an audit: "defective: seam split on first wash" is useful; "return" is not. The reason code drives defect rates by product and damage reporting. If the real reason is disputed, write it factually anyway; the record is not the place for diplomacy. The refund procedure is stated in Post-Transaction, and refund rights are governed by the Returns and Refunds Policy.

Held orders

This prompt lists the carts parked on this register: when each was held, what is in it, and which customer it belongs to. Retrieving a cart restores its lines, discounts, customer, and notes intact. The cashier shall read the customer name before confirming, because tendering someone else's sale is the mistake this prompt exists to prevent. Held carts have no permanent storage; a hold list that has been sitting for hours shall be treated as abandoned and cleared rather than left to linger into the next shift.

Receipt preview

Before the receipt prints or sends, this prompt shows exactly what the customer will receive: every line, every discount, the tax, the total, and the tenders. It is the last chance to catch an error while it is still free to fix. The cashier shall read it as the customer will: top to bottom, item count against the bags on the counter. The two errors this preview exists to catch are the duplicated line and the wrong customer attached.

Controls

  • No prompt answer shall be entered on another person's behalf: not a tip, not an override PIN, not an age verification.
  • A rejected coupon, a failed age verification, and a rejected override shall each be handled as the relevant section states, never worked around with a manual discount, an estimate, or borrowed credentials.

Records

Each answered prompt writes its record with the sale: the discount and its reason, coupon validation results, the attached customer, the tip on the payment, override attempts and approvals with the manager's identity, refund reasons and reason codes, and held cart contents while held. These records are kept in the point of sale system.

Escalation and review

Managers review discount reasons, override attempts, and refund reasons as part of shift review. A prompt fault that the store cannot resolve shall be reported to support@aapawz.com. Legal process concerning a sale or an age-verification record shall be directed to legal@aapawz.com.
